Manage Sharing

Sharing permissions are folder-based.  Manage folder access as follows:

Add New User

  • Log in to a Library in Caristix Workgroup.
  • Navigate to a folder, and right-click.
  • Select Properties and select the Sharing tab
  • Click the Add… button. A new row is added to the grid
  • In the first cell (member column), select the user or group you want to add, and select a role.
  • If the user you’re looking for is not on the list, the user is not part of the Library community.  Invite him or her to join. Once invited, the user will appear on the list.

Change User Roles and Access Rights

  • Log in to a Library in Caristix Workgroup.
  • Navigate to a folder, and right-click.
  • Select Properties and select the Sharing tab
  • Select a user and select a new role.

Update Global Sharing through Library Manager Window

This is useful when you want to change sharing permissions for an entire group.

  • Log in to a Library in Caristix Workgroup.
  • In the Main Menu, click the arrow beside your username
  • Click Manage Library.
  • Select the Users tab
  • Select a user
  • To update role:
    • Check/Uncheck the Administrator check box
    • A library administrator can manage users, groups and notifications
  • In  the tab panel at the bottom, select Sharing tab
  • To update sharing permissions:
    • Select the folder you want to update
    • Select the new role
  • To add a sharing permission:
    • Click the Add... button. A new sharing row appears
    • In the first cell (folder column), select the library folder  you want to add
    • In the second column (role), select a role for the user
  •     Click OK

Inherited Membership, Sharing and Notifications

When a user (or a group) is a member of another group (see Manage Groups), group settings will applied. These settings will be shown in the user’s membership, sharing permissions and notifications as read-only. Settings specific for the current user-group will be editable.

For example, we have a group (Group A) with a sharing permission on the folder “HL7 References”. If you set a user (John Doe) as a member of the Group A, and add a new sharing permission for John Doe, you will see 2 permissions. The first row (grayed) represent the permission inherited from the membership to Group A. The second row is a permission specifically set to John Doe.
